What's new
Every change to UpfitHQ, newest first, as it ships. The same list the shops read inside the app.

Share the books with your accountant
On the Books page, Share with my accountant sends your accountant an email. They choose their own password and land straight in the books: every report, the year-end package and closing the year, and nothing about your people or settings. The same card shows who has access, sends a new link, or removes access.
-
Flag hours for each technician
For a shop that pays flag time, Reports → Flag Hours lists what each technician earned on the jobs finished in a pay period: the install hours of the parts they ticked as fitted, beside the hours they clocked. Turn on Comeback on a job that redid work done wrong and it earns no flag time; warranty work still does.
-
Long messages stay inside the conversation list
In Messages, a long last message is now cut short with an ellipsis instead of running under the time and past the edge of the list.
-
What's new
Every change to the app is now listed inside it under What's new, newest first, as it ships, with a dot in the menu when there is something you have not seen yet. Each shop only sees the changes to the parts of the app it has.
-
Color each lighthead on a bar
A lightbar, an interior lightbar or a Tracer can now have every lighthead colored on its own: red and white across the front, amber and red behind, green and white on the corners, takedowns in the middle. Select the bar on the diagram and use the Lightheads panel. Every view of the car shows each head where it really is, and so do the printed estimate, the customer's link and the technician's drawing.
-
The light list keeps its place
Pressing a control in the configurator's light list no longer scrolls the list back to the top.
-
A new My Jobs for technicians
My Jobs leads with the job you are on, its timer and one button to stop it, and every other job is a single row with Clock In on it. The job page puts the parts (with the bin to pull each one from), the drawing, the photos and the job details on tabs, with large buttons for a photo, a broken part and calling the customer.
-
A cut list for every car you wire
The wiring diagram has a Cut list tab: every wire to cut and label before the build, with its gauge, color and length where the plan knows them, and how much of each wire to pull. It prints with the wiring sheet and downloads as a spreadsheet.
-
Payroll is now called Payroll Prep
The new name says what it does: it prepares approved hours and gross pay for your payroll service. It does not pay anyone or file taxes.
-
Light mode
My Account has an Appearance setting: dark mode, as before, or light mode. Your choice follows your login to any device.
-
A dashboard that fits on one screen
Needs you lists only what is waiting on you, such as finished jobs to invoice, estimates waiting on a customer, overdue invoices and breakage to approve, and each line opens the documents behind it. A fleet's jobs fold into one row.
-
Help, one subject at a time
Help is organized by subject, with the common questions first and the guides after, and one search box covers both. Technicians see the questions about their own work.
-
A cleaner Settings page
Settings shows one section at a time. Every setting has a plain name and a sentence about what it does, there is a search box, and one save bar covers changes in any section.
-
Install hours on parts, and labor that follows them
A part can carry its install hours. Add parts with hours to a quote and its labor line adds them up for you, until you type a labor quantity yourself; Use these hours puts it back.
-
Purchase orders reach QuickBooks overnight
When it is switched on in Settings, an order you emailed to the vendor that never reached QuickBooks is sent there that night, along with any change to an order QuickBooks already has.
-
Correct an invoice already in QuickBooks
An unpaid invoice that is already in QuickBooks can be corrected here, a line changed or a PO number added, and sent across with Update QuickBooks.
-
Invoicing a job closes its QuickBooks estimate
When a job that started as a QuickBooks estimate is invoiced, that estimate is now marked invoiced and closed in QuickBooks, including for jobs split from a fleet estimate. If QuickBooks already shows the estimate invoiced, the app asks before sending, so nothing is billed twice.
-
Punch in from the work order
An admin who also works on cars can punch in from the work order page itself.
-
Send to vendor emails the order first
Send to vendor emails the purchase order to the vendor and then puts it in QuickBooks, so the vendor always has it. An order placed but never emailed is marked in red until it is, and Ask for a quote sends a request for a quote instead of an order.
-
Ready for your accountant
Close your books through a date once your accountant has filed, give your accountant a login of their own, and download the year-end package: the trial balance, statements, ledgers and agings in one zip, as spreadsheets. Every change to the books is kept in a change history, and each payroll your service runs can be recorded with wages, taxes and fees kept apart.

-
Fit your profile picture
Choose a picture on My Account, then drag and zoom it to fit the circle before it is saved.
-
A start date for your books
Set the date your books start. What came before carries in as opening balances, and invoices and bills still owed that day come across as what is owed. A check that bounces after its statement was reconciled is listed on the next statement for the difference.
-
Choose where an order ships, and email several people
A purchase order can ship to any of your shops, and the ship-to can change after the order is sent. The vendor email takes several addresses at once.
-
Windows close only when you close them
A pop-up window now closes only with its X or its own buttons, so a click beside a half-filled form no longer throws it away.
-
A question before a taxed invoice goes to QuickBooks
Sending an invoice that charges sales tax asks first, showing the amount and the customer, and offers to take the tax off.
-
A Back button in the installed app
When the app is installed on a computer or a phone, it has a Back button of its own.
-
Invoices nobody sent reach QuickBooks overnight
Switch it on in Settings and any invoice still waiting goes to QuickBooks by itself at the time you choose. An invoice can be held back, and one that charges tax always waits for a person.
-
Change an order after it is sent, and attach drawings
Add a part, change a quantity or a note on a purchase order that is already sent, and the change reaches QuickBooks. Files attached to an order can go out with the vendor email.
-
An invoice without an estimate
New Invoice starts an invoice straight away, for work that never needed a quote.
-
Two contacts on your paperwork
Settings takes a second contact person with their own phone and email, printed on estimates, invoices and the customer's link.
-
Fuse panels, relays, signals and wire routes
The wiring diagram covers the power behind the lights: fuse panels and fuses, relays, other loads such as radios and docks, the vehicle's own signals, and wire routes drawn on the car. Every load is added up the chain to its fuse.
-
The wiring diagram
Plan the wiring of each car on its own drawing: which controller output each light lands on, checked against the maker's ratings. Record the as-built, sign it off, and print it as a wiring sheet for the technician.
-
Received parts land on the right shelf
Receive into inventory puts the parts on the shelf of the shop that took the delivery, and invoicing a job takes them off the shop that did the work.
-
Every punch on a job
See every punch on a work order lists each clock-in and clock-out with its times, flags long and automatic ones, totals them by technician and downloads as a spreadsheet.
-
Bed caps on pickups
A bed cap can be added to the Silverado, F-150 and Ram 1500 drawings, drawn in every view it is seen from.
-
Statements, reconciliation and customer statements
The books have a profit and loss, a balance sheet, sales tax, a trial balance and a general ledger. The bank, the cash drawer and the card reconcile against their statements, customers can be emailed a statement of what they owe, and one check can be applied across several invoices or bills with any extra kept as credit.
-
The Books add-on
Keep your books in UpfitHQ: invoices post to a real ledger, payments are recorded against them, vendor bills are entered and paid, expenses are kept with photos of their receipts, and money moves between the bank, the cash drawer and the card.
-
Payroll-ready hours
Pay rates, pay periods and overtime worked out by the workweek, approved and exported for your payroll service. Technicians punch in for the day as well as for each job, with unpaid breaks.
-
See which parts were fitted
A work order shows the parts checklist the technicians tick, with who fitted each part and when.
-
Error messages stay up long enough to read
A red message now stays on screen for as long as it takes to read, waits while your pointer rests on it, and closes with a click.
September 2026
-
Send an estimate to QuickBooks
An estimate can be sent to QuickBooks with its own number, for the times you want to print it from there.
-
Email invoices and record payments
Without QuickBooks, an invoice can be emailed to the customer from the app and its payment recorded here.
-
Invoice an accepted estimate in one step
An accepted estimate becomes an invoice with Create Invoice, with no sales order or work order in between.
-
Add a customer from New Estimate
A customer who is not on the list yet can be added from the New Estimate form without leaving it.
-
Bars land where they belong
A lightbar, an interior lightbar or a push bumper added to a drawing starts in its real place on that vehicle, in every view.
-
Mount a lighthead upright
A surface-mount lighthead can be drawn standing upright as well as lying flat.
-
A copy of every quote you email
Settings can name an address that gets a hidden copy of every estimate emailed to a customer.
-
Undo a conversion, and name a fleet's jobs
A sales order or work order can go back to being an estimate, the jobs from a fleet estimate can all be named at once, and a document's number follows its stage: EST, then SO, then WO.
-
Barcode scanners pull up parts
Scan a part number or a UPC into the parts picker or Inventory and the part comes up. A box's barcode can be saved on its product.
-
A quote with one price, and a packing slip
Hide the itemized prices on an estimate so the customer sees the parts and one total, and print a packing slip with no prices for parts you sell.
-
Email a purchase order to the vendor
A purchase order can be emailed to the vendor from the app, with its PDF attached.
-
One estimate, many jobs
An accepted estimate for a fleet can be split into one job per car, with the parts divided between them.
-
Punch in for travel
Start travel when you drive to collect or deliver a car, on its own or for a job. Travel time is paid and never counted against a job's quoted hours.
-
Photos and video at any stage
Take photos or a video of a car when it arrives, during the build and when it is done, on an estimate as well as a work order.
-
Choose when forgotten punches close
A punch somebody forgot to close is closed at the time you set in Settings rather than at midnight.
-
Stock at each of your shops
With more than one shop, count the stock at each one from Inventory and move parts between them. A new job asks which shop is doing the work.
-
You can see when the app is working
A bar across the top and a spinner on the button you pressed show when the app is waiting on something.
-
The app in Spanish
Each person can choose Spanish on My Account. The technician side of the app is translated.
-
Clocked out when you leave the shop
With the shop's location set, a technician who leaves while still on the clock is clocked out at the moment they left.
-
Messages
Write to anyone in the shop, a group, or everyone at once, with photos and emoji. New messages arrive as notifications.
-
Forgot your password
The sign-in page can email you a link to choose a new password.
-
Products and customers both ways with QuickBooks
A product or customer added in either place appears in the other by itself, and an invoice paid in QuickBooks is marked paid here.
-
Purchase orders
Order parts from a vendor, send the order, receive what arrives, and order a job's short parts in one press.
-
Drag lines into order, a PO number, and Duplicate
Lines on a quote move by dragging the grip at the start of each row, the customer's PO number has its own field, and an estimate can be duplicated from the Documents list.
-
The drawing on a technician's job
Technicians see the vehicle drawing, with each light numbered, on the jobs they are assigned.
-
Web leads
Quote requests from your website arrive in the app, ready to become an estimate with one press.
-
Sales tickets
A sales ticket is for quick work done without an estimate: a counter sale, a quick install or a service call.
-
Clocking in at the shop
Set your shop's location and a technician can clock in only when they are there. A clock-out from somewhere else is recorded and flagged.
-
Bring open estimates over from QuickBooks
Import Estimates copies your open QuickBooks estimates into the app, so nothing is typed twice when you start.
-
One-click fees, bin locations and the archive
Add a delivery or other fee to a quote in one press, record where each part lives on the shelf, and estimates over a year old move to the archive by themselves.
-
Push bumpers on the drawing
A push bumper can be added to any vehicle and is drawn on the front, from above and from both sides.
-
Install the app on your computer
Install on this PC in the menu puts the app on your computer with its own icon, ready to pin to the taskbar.
See it before you talk to anybody
The demo opens with no password
The real software with a made-up shop in it: quotes, jobs, parts, a drawn cruiser and a tech’s phone. Click anything. It resets itself.
